Of all the things an estimator needs to extract from a construction spec book, trade responsibilities are the most consequential and the hardest to find. Material standards are explicit, ASTM numbers jump off the page. Submittal requirements are formulaic, they follow a predictable format in Part 1. But trade responsibility language is embedded throughout spec sections in varying formats, across multiple divisions, and often in ways that only create a problem when two trades read the same language differently.
This post explains how AI-powered spec review identifies trade responsibility language across CSI divisions, and why that capability matters so much for estimators and GCs during bid prep.
Why Trade Responsibilities Are Hard to Extract Manually
Trade responsibility language doesn't follow a single, consistent format. It appears in different locations, under different headings, and is written in different ways depending on who wrote the spec section and what the project requires.

Sometimes it's explicit: "The electrical contractor shall provide and install a dedicated 20-amp, 120-volt circuit for each security panel." That's clear, easy to find, and easy to assign.
More often it's implied or embedded in broader language: "Access panels required for maintenance of mechanical equipment shall be of a size and type as specified in Section 08 31 00." That sentence assigns responsibility for access panel specification to the mechanical section, but where it appears (in a mechanical spec section), who reads it (the mechanical sub), and what it means for the carpentry or drywall sub who actually installs the access panel all require interpretation.
Sometimes trade responsibility is distributed across multiple sections. The mechanical spec says the mechanical contractor furnishes equipment. The electrical spec says the electrical contractor provides power. Division 01 says the GC coordinates equipment installation. Three different sections, three different trades, one piece of equipment, and if any of them misread their section's language, something gets missed.
How AI Scans for Trade Responsibility Language
AI spec review tools are trained to recognize the linguistic patterns that signal trade responsibility assignments in construction specs. These patterns include:
Active voice scope assignments: Language like "The [trade] contractor shall furnish," "The [trade] contractor shall install," "The [trade] contractor is responsible for" are direct scope assignments that AI identifies reliably.
Furnished-by/installed-by distinctions: Language patterns like "furnished by [trade], installed by [trade]," "FBBA" (furnished by, but another), or "owner-furnished, contractor-installed" signal scope splits that AI flags as requiring attention.
Related section cross-references: When a spec section references another section by CSI number for a requirement, "as specified in Section 22 05 00", AI identifies the cross-reference and can surface it alongside the requirement, rather than requiring the estimator to manually look up the referenced section.
Coordination requirements: Language like "coordinate with," "in cooperation with," "prior to work by," or "following completion of [trade] work" signals interface points between trades that AI flags as coordination requirements.
Negative scope statements: Language like "work of this section does not include," "not in contract," or "by others" explicitly excludes items from a section's scope, and is often more important to catch than the positive scope assignments.
Cross-Division Trade Responsibility Analysis
The most powerful capability of AI spec review for trade responsibilities isn't identifying the language within a single section. It's analyzing trade responsibility language across all CSI divisions simultaneously and flagging items where responsibilities cross division lines.
Consider a scenario on a commercial project. Division 23 (HVAC) says the mechanical contractor furnishes and installs the fan coil units. Division 26 (Electrical) says the electrical contractor provides power wiring to a junction box within five feet of each fan coil unit, with final connection by the mechanical contractor. Division 01 (General Requirements) says all equipment startup requires factory-authorized service representative involvement coordinated by the installing contractor.
Three divisions, three requirements, one complete picture of who does what. An estimator reviewing only their own division sees one piece. AI reviewing all divisions simultaneously assembles the full picture and flags the coordination points (final connection responsibility, startup coordination) that need to be addressed in both the mechanical and electrical bids.
What Trade Responsibility Extraction Means for GCs
For general contractors, cross-division trade responsibility analysis is particularly valuable during bid leveling. When sub bids come in, one of the most important questions is whether each sub has included everything the spec assigns to their trade, and whether any scope items have fallen between subs with neither claiming them.
AI-extracted trade responsibility summaries give GCs a structured checklist for bid leveling. For each scope item flagged by the AI, the GC can verify which sub has included it, whether any sub has explicitly excluded it, and whether the scope assignment is clear enough to enforce if a dispute arises.
This doesn't eliminate scope gaps entirely, scope gaps sometimes trace to ambiguous spec language that even thorough review doesn't fully resolve. But it dramatically reduces the number of gaps that survive to construction, where they're most expensive to fix.

The output of AI trade responsibility extraction is a section-by-section summary of scope assignments, cross-references, and coordination requirements, organized by CSI division and formatted for use in bid prep and bid leveling.
For a plumbing sub, that means a list of every scope item in Division 22 that's assigned to the plumbing contractor, plus any items in adjacent divisions that reference Division 22 work or assign responsibilities to the plumbing contractor. For a GC, it means a full-project view of scope assignments across all trades, a starting point for bid leveling that would otherwise require reading the entire spec book.
